The short answer
AI website chat answers visitors' common questions on your site at any hour, using information you've given it, and collects their details so you can follow up. It can't see the job, give a firm quote or replace your judgement, and it should hand anything it isn't sure about to a person. Used that way, it catches enquiries that would otherwise leave your site unanswered.
What is AI website chat?
It's a chat box on your website that replies in plain language. Older website chatbots worked from fixed menus and scripts, and visitors gave up as soon as their question didn't fit a button. AI chat uses a language model, the same kind of technology behind assistants like ChatGPT and Claude, so it can understand a question asked in the visitor's own words.
What makes it useful for a business is the information behind it. A well set-up chat is given your services, the areas you cover, your hours and how your pricing works, and answers from that. Without it, the chat is guessing.
What can AI chat do well for a small business?
Most small businesses answer the same handful of questions every week. AI chat is good at exactly those:
- Do you work in my suburb?
- Do you do this particular job?
- Are you open on Saturday?
- Is there a call-out fee, and how do you price?
- How do I book, and what happens next?
It answers at 9pm on a Sunday as readily as at 10am on a Tuesday, which matters because many people research when they finally have time, not during business hours. It can also gather the details you'd ask for anyway, like the job type, the suburb and how urgent it is, so the enquiry reaches you ready to act on.
What can't AI chat do?
Being clear about the limits is what keeps AI chat useful rather than risky.
- It can't see the job, so it can't give a firm quote. It can explain how you price and take the details you need to quote.
- It only knows what you've told it. If your hours or services change and nobody updates it, it will give old answers.
- It can be wrong. Language models sometimes state things confidently that aren't true, which is why it should stick to your information and say when it doesn't know.
- It shouldn't give medical, legal or financial advice, or anything else that needs a qualified person.
- It isn't a substitute for answering the phone in an emergency. For urgent jobs, it should point the visitor to your number.
How does lead capture work in a chat?
Once the visitor's question is answered, a good chat asks whether they'd like someone to get back to them and takes their name, phone number or email, and the details of the job. That enquiry is then sent to you, by email or into your software, so it doesn't sit inside the chat tool waiting for someone to log in and look.
The value is in the follow-up. An enquiry captured at 9pm is only worth something if someone calls the next morning. If enquiries tend to get lost, enquiry automation can send them straight into your job software and text you about the urgent ones.
When should the chat hand over to a person?
A chat should know when to step aside. The usual cases:
- The visitor asks something it doesn't have the answer to.
- It's urgent: a burst pipe, no power, anything unsafe. Show the phone number straight away.
- It's a complaint or a problem with a past job.
- The visitor wants to negotiate on price or discuss something sensitive.
- The visitor simply asks for a person.
The handover should be plain: "I'll pass this to the team and someone will be in touch", with the details captured so the visitor doesn't have to repeat themselves, and your phone number shown for anything that can't wait.
What about privacy?
Anything a visitor types into a chat is personal information if it identifies them, so treat it with the same care as your contact form. In Australia that means thinking about the Privacy Act and the Australian Privacy Principles.
In practice: make it clear the visitor is talking to an AI, not a person. Say in your privacy policy that chat messages are processed by an AI provider, and where, including if that's overseas. Don't ask for more than you need, and set the chat up to discourage sensitive details like health or financial information. Ask any chat provider where conversations are processed, whether they're stored and for how long. Our own privacy policy sets out how the chat box on this site is handled.
How does NeuChat work?
NeuChat, website chat by NeuCalla, is the AI chat we put on the sites we build. It's set up with your own services, prices and areas, so it answers like you would, and when the visitor is ready it takes their details and sends the enquiry straight to you.
Every Site & Care website includes NeuChat, with 100 chats a month included. A chat is one website conversation where the visitor sent a message. Need more? Extra chats are $0.30 each, or add NeuCalla for calls and texts too. Site & Care itself is $99 a month, including GST, on a 12-month term.
NeuChat is one of three products that make up NeuCalla: NeuCalla answers calls, NeuText answers texts (SMS, WhatsApp) and NeuChat answers your website. It answers in your business name, with hands-on setup included. If you'd like custom AI built for a particular job in your business, that's custom work, quoted.
How do you set up AI chat well?
Whichever chat you use, the same checklist applies.
- Give it your real services, areas, hours and how you price
- Tell it what not to answer, and when to hand over
- Make urgent jobs go straight to your phone number
- Say plainly that it's an AI
- Ask only for the details you need to follow up
- Make sure enquiries reach you, not just the chat tool
- Test it with the questions customers really ask
- Read through enquiries regularly and correct anything it got wrong
- Update it whenever your services, prices or hours change
- Cover chat in your privacy policy
